Introduction
Background
PubEasy
is the Internet based ordering and inquiry system for booksellers and
their suppliers.
PubEasy offers booksellers with a PubEasy password the ability
to place and track orders
and answer inquiries related to the availability, title and
price of products.
- Purpose
- Create catalogs of frequently ordered titles
- Create catalogs of best selling products
- Create catalogs of titles by subject or author
There is no limit to the number of unique catalogs that can exist, neither is there a
limit
to the number of products that can exist within each catalog. It is possible for one
product
to exist in multiple catalogs. It is also possible to define a time period that
controls when
a catalog is available for display within PubEasy.
The catalog you create may be viewed and edited only by the Users within your bookshop.
No other bookseller may alter or view the catalogs you have created.
Users can choose to view several catalogs simultaneously and can also choose the
display sequence within that catalog. Orders can be placed for any of the products that
exist within the catalogs and hyperlinks can be included to access additional
bibliographic information within the PubEasy environment.
Please note that a catalog created at an Affiliate PubEasy site can contain only titles
distributed by that Affiliate. You cannot create a catalog that includes titles
distributed
by multiple Affiliates.
This document offers an overview of the features and also provides guidelines on how to
implement them.

Creating a Personal e-Catalog
To
create a Personal e-Catalog follow the instructions below.
- Define the name of the e-Catalog
- Click on "e-Catalogs" in the Main Menu.
- Click on "Create & Edit My e-Catalogs" in the subsequent menu.
- Enter a name for the catalog together with an optional date range. If no date range is
entered, the entire catalog is available for viewing from the moment it is created.
Otherwise,
the catalog can only be viewed between the dates entered.
- Click on the "Create New e-Catalog" link to validate the information you have
specified.
Please note that a catalog must obtain at least one product in order to exist.
If you exit
PubEasy prior to adding a product, the catalog is lost.
- Add a Single Product by entering the ISBN and click the "Add ISBN to Catalog"
link.
- Search for products to add by ISBN, title, author or publication date.
- Copy 'n' Paste a list of ISBN's into the catalog.
- Adding a Single Product
If you know the ISBN of the product, enter the ISBN and click on
"Add ISBN to
Catalog". If the ISBN is invalid, does not exist within the
Affiliate PubEasy system,
or is already in the catalog, the screen is redisplayed with an
error message. If the
ISBN is valid within the Affiliates PubEasy system, it will be
added to the catalog
and a message is displayed.
- Adding Multiple Products Using
"Search"
To add multiple products to a Personal e-Catalog using
"Search", enter your search
criteria and click on "Search". If there
are no matching products, you will receive a
message to that effect.
All matching products are displayed with an "Add to Catalog"
check box and a field to
enter a textual description. Check the "Add to Catalog"
check box and enter a description
for any products (optional) before clicking on "Add
selected products to catalog". If the matching products are already in the catalog,
they are displayed with a check in the
"Add to Catalog" column, without the
option to enter a textual description.
Check the "Add to Catalog" check box. You have the option to
enter a description for
any products you add to the catalog. Then click on "Add
selected products to catalog".
From the next screen, you can perform a new search by clicking on
"Search for new
titles". You can also change or delete textual descriptions or
remove any products by checking the "Remove" check boxes before clicking on
"Update catalog". Clicking the "Update catalog" link redisplays the
screen with the message "Your catalog has been updated". Please note, once you
remove the last product from a catalog PubEasy will
also remove all references to the
catalog from its database.
- Adding Multiple Products Using "Copy n
Paste"
To add multiple products to a Personal e-Catalog using "Copy
n Paste", click on "Copy n
Paste".
Type each ISBN on a separate line in the text box or copy/paste a list
of ISBN's from another source. Then click on "Add to Catalog". PubEasy will
search for each of the ISBN's entered
and display the results.
If an ISBN is not found in the Affiliates PubEasy database, the
message "No Records Found"
will be displayed after the ISBN.
If one of the entered ISBN's is already present in the current catalog, the message
"This
product has already been added to this catalog" will be displayed after
the ISBN.
A textual description may be added for each of the valid products
before clicking on the
"Add to Catalog" link. Clicking on the "Add to
Catalog" link will add all the valid products
on this page to the catalog if the
"Remove" check box is not checked.
Amending a Personal e-Catalog
Find
the Personal e-Catalog to Amend
To find a Personal e-Catalog, follow these steps:
- Click on "e-Catalogs" in the Main Menu.
- Click on "Create & Edit My e-Catalogs" in the subsequent menu.
- Enter a full or partial catalog name and click on "Find an e-Catalog". Or,
leave the catalog
name blank and click on "Find an e-Catalog".
If no matching catalogs are found, the screen is redisplayed with an
appropriate message.
If a single matching catalog is found, the screen is redisplayed for
the matching catalog.
If several matching catalogs are found, all will be displayed for
you to select.
Click on the icon next to the catalog you wish to edit.
- Amending My e-Catalog Information
From the previous screen, you can change
the name of the catalog, add, change
or delete the optional display date range and change
the catalog type. Click on
"Update catalog" to confirm the changes.
- Amending the Contents of My e-Catalogs
To amend the contents of a personal e-Catalog, click on "Display/Amend
contents of the
catalog". The resulting screen allows you to remove products from the
catalog, modify the
textual descriptions and add new products by clicking on the
"Search for new titles" link
to navigate to the product search page.
To remove products from a catalog select the "Remove" check box next to the
product(s)
to be removed and click on the "Update Catalog" link. Please note,
once you remove the
last product from a catalog PubEasy will also remove all references to
the catalog from
its database.
Deleting a Personal e-Catalog
Deleting a Personal e-Catalog and its
Contents
To delete a Personal e-Catalog and its contents, find the e-Catalog
as described in
paragraph 3.1. Then click on "Delete catalog including
contents".
Click on "YES" to delete the catalog or on "NO" to
cancel. The screen is redisplayed with
the appropriate confirmation message.
Viewing a Personal e-Catalog
To view a My e-Catalog, follow these steps:
- Click on "e-Catalogs" in the Main Menu.
- Click on "View My e-Catalogs" in the subsequent menu. This option is available
only if
you have created at least one e-Catalog within the Affiliate PubEasy system.
To view the contents of a catalog select the catalog from the "Select a Personal
Catalog"
list and click on the "Submit" button. To view multiple catalogs,
hold down the "Ctrl" key
on your keyboard while selecting additional catalogs
with your mouse. A display sequence
may be selected from the "Display Sequence"
drop down list. This will order the products
within each catalog by the selected display
sequence. It will not affect the order in which
the catalogs are displayed as these will
always be displayed in alphabetical order. PubEasy
does not merge products from multiple
catalogs to create one.
The screen is similar to the results of a "Search & Check Availability"
and allows you to
add products to your shopping cart.
Viewing
a Publisher e-Catalog To view a publisher e-Catalog, follow these steps:
- Click on "e-Catalogs" in the Main Menu.
- Click on "View Publisher e-Catalogs" in the subsequent menu. This option is
only available if
at least one publisher or mixed publisher catalog has been created
within the Affiliates
PubEasy system.
The resulting screen allows you to select the catalogs you wish to view. When the page
is
loaded all publisher and mixed publisher catalogs are displayed in the "Select
e-Catalog"
box. To view a list of the catalogs for a particular publisher/imprint,
select the required publisher/imprint from the "Catalog Type" drop down list.
Publishers/imprints are listed in
the "Catalog Type" drop down list only if they
have created at least one catalog in the
Affiliates PubEasy system.
To view the contents of a catalog, select the catalog from the "Select
e-Catalogs" list and
click on the "Submit" button. You may select multiple
catalogs by holding down the "Ctrl"
key on your keyboard while selecting each
catalog with your mouse. A display sequence
may be selected from the "Display
Sequence" drop down list. This will order the products
within each catalog by the
selected display sequence. It does not affect the actual catalog
display order since these
are always displayed in alphabetical order. PubEasy does not
merge products from separate
catalogs into one "umbrella" catalog.
The resulting screen is similar to the results of a "Search & Check
Availability" and you
can add products to your shopping cart.
